Overview
The Ashby integration lets you send Vervoe assessments to candidates automatically from Ashby, and see their status, scores and a link to their Vervoe results right on the Ashby candidate profile.
Here's how it works:
- In Ashby, you add a Vervoe assessment to a stage of a job's interview plan.
- When a candidate moves into that stage, Ashby tells Vervoe.
- Vervoe emails the candidate an invitation to complete the assessment.
- As the candidate progresses, Vervoe sends their status, overall score, skill scores and a link to their Vervoe candidate card back to Ashby.
You don't need to map jobs to assessments in Vervoe. Ashby shows a list of all your active Vervoe assessments, and you pick one for each stage.
Before you start
You'll need:
- The Ashby integration on your Vervoe plan. If you can't see Ashby under Integrations, contact your Vervoe account manager or our support team.
- Admin access in Ashby, so you can create an API key and connect the Vervoe app.
- Access to Integrations in Vervoe, so you can turn on the integration and generate a partner key.
- At least one open assessment in Vervoe. Ashby only lists active assessments.
Connecting Ashby to Vervoe
Connecting takes two keys: an Ashby API key that lets Vervoe send results to Ashby, and a Vervoe partner key that lets Ashby send candidates to Vervoe. You'll switch between Ashby and Vervoe a couple of times, so it helps to have both open.
Step 1: Create an API key in Ashby
- In Ashby, go to Admin → Integrations → API Credentials.
- Create a new API key for Vervoe.
- Make sure the key has these permissions:
- candidatesRead
- candidatesWrite
- Copy the key.
Step 2: Turn on the integration in Vervoe
- In Vervoe, go to Integrations and select Ashby.
- Turn the integration on.
- Paste your Ashby API key and save.
Step 3: Generate your Vervoe partner key
- On the same Ashby integration page in Vervoe, click to generate a partner key.
- Copy the key straight away. For security, it's only shown once.
If you lose the key, generate a new one. The old key stops working immediately, so you'll need to paste the new key into Ashby too.
Step 4: Add the partner key to Ashby
- In Ashby, go to Admin → Integrations and open the Vervoe tile.
- Paste your partner key into the Vervoe API Key field and save.
That's it. Ashby can now list your Vervoe assessments.
Optional settings in Vervoe
| Setting | What it does | Default |

| Reinvite timeframe | If a candidate is invited to the same assessment again after this many days (counted from their original invitation), or their status is Expired or More time requested, they're re-invited to restart the assessment from scratch. | 180 days |
Sending assessments from Ashby
Add a Vervoe assessment to an interview stage
- In Ashby, open the job and go to Interview Plan.
- Find the stage where candidates should take the assessment (for example, Written Case / Assessment) and click Add Activity to [stage name].
- Under Integrations, select Vervoe.
- In Add Vervoe Activity, choose the assessment from the Assessment Type list and click Add.
Invite a candidate
- Move the candidate into the stage with the Vervoe activity. You can do this from the pipeline, with Change Stage, or when adding a new candidate to the job.
- On the candidate's profile, a Vervoe Assessment card appears under Current Activities.
- Click Start Assessment, confirm the assessment type, and submit.
Vervoe emails the candidate an invitation straight away. The candidate also appears in the assessment in Vervoe with Ashby as their source, and Ashby logs an Assessment Sent entry in the candidate's feed.
Inviting a candidate who has been invited before
If a candidate is sent the same assessment again:
- Within the reinvite timeframe: Vervoe sends their existing results to Ashby. If they haven't finished yet, they get a new invitation email, but their progress isn't reset.
- After the reinvite timeframe, or if their status is Expired or More time requested: they're re-invited to start the latest version of the assessment from scratch. New results are only sent to the new Ashby application, not the earlier one.
Viewing results in Ashby
Open the candidate's profile in Ashby and expand the Vervoe Assessment card under Current Activities. Click Show Details to see everything Vervoe has sent:
- Assessment status (see the table below)
- Score: the overall score, labelled as AI or manual depending on how it was graded. The score updates if you regrade in Vervoe.
- Skill scores: a score for each skill in the assessment
- Dates: when the assessment was sent, started and completed
- Profile URL: a View in Vervoe link to the candidate's full results
Ashby also adds Assessment Sent and Assessment Finished entries to the candidate's feed.

FAQs and troubleshooting
I can't find my assessment in Ashby. Ashby only lists active assessments. Check that the assessment is open in Vervoe and that the integration is turned on.
The candidate wasn't invited and Ashby shows an error. Ashby shows a message explaining what went wrong. Common causes:
- The assessment's deadline has passed, or it has been closed, archived or deleted.
- The integration is turned off in Vervoe, or your partner key is missing or out of date.
- Your Vervoe account is deactivated, or your free trial has ended.
Once you've fixed the issue, remove the Vervoe assessment from the candidate's profile in Ashby, add it again and click Start Assessment.
Results aren't showing up in Ashby. Your Ashby API key may be missing, revoked or missing permissions. You'll see a banner in Vervoe if this happens. Create a new key in Ashby with the permissions listed in Step 1 and paste it into the Ashby integration page in Vervoe. Any pending results are sent once the new key is saved.
I invited the same candidate twice for the same job. They won't be re-invited to restart, and updates are only sent to the most recent assessment in Ashby.
How do I disconnect Ashby? To pause the integration, turn it off in Vervoe. Your keys and settings are kept. To disconnect fully, remove your credentials from the Ashby integration page in Vervoe. Your settings and candidate history are kept, but you'll need to set up both keys again to reconnect.
