This article outlines the full list of candidate-facing settings available in Vervoe and how to customise them to suit your hiring process.
All settings can be updated in the 'settings' tab.
đź“‹ Assessment Details
You can view and update the following details for each assessment:
Assessment name & description
You can edit the assessment name and description. Note the assessment name is visible to candidates, but the description is not.
Custom assessment URL
You can edit the assessment slug for consistency. This feature is unavailable for AppSumo plan customers.
To change the slug, go to Assessment Details and click "Change" under Custom Assessment URL.
Requirements:
- Slug must be unique across all assessments
- Minimum 2 characters, maximum 100
- Only letters and numbers (no special characters)
- If the slug is taken, add numbers (e.g., user-experience-designer-34)
Old links won’t update, but candidates can still use them. If you update the slug, the new URL must replace the old one.
Branding details
You can customise the branding for each assessment in your account. This is helpful if you have one overarching brand, but multiple other brands or clients you recruit for.
These updates help candidates easily recognise your company and build trust in the application process.
Brands can be created in Vervoe Account Settings. Here is a guide on how to do this.
đź§ Skill Group Settings
Configure how questions are presented to candidates within each skill group:
- Randomise question order for each candidate
- Randomise answer order for multiple choice questions
- Skill Group Randomisation – Choose a number of questions per skill group to randomly present per candidate
These options help protect the integrity of your assessment content.

These options allow you to control and customise all aspects of the candidate email invitation experience:
Customising Emails
Communicating with your candidates throughout the interview process helps maintain a positive experience and reflects well on your organisation.
Vervoe sends automated emails at key stages – including invitations and rejections – on your behalf. Each invitation email can be previewed or customised to suit your tone and brand.
Note: Update your company profile to ensure emails and the assessment welcome screen include your company logo.
How to Edit Email Invitations
There are two ways to customise your invitation emails:
Via the Invite Tab:
- Open the assessment and go to the “Invite” tab
- Click “Preview/Edit invitation email”
- The email content will open for editing
Via Settings:
- Click the Settings button from within the assessment
- Scroll to the Invitation Settings section on the left-hand side
- Customise invitation, rejection, reminder emails, and the assessment welcome screen
đź’ˇ Best Practices for Email Subject Lines
Personalising subject lines can significantly improve open and completion rates. Here are some quick tips:

- Keep it short and clear (20–50 characters)
- Avoid using “Re:” or “Fwd:”
- Don’t use all caps or exclamation points
- Make sure it matches the email content
- Avoid questions in subject lines
- Stick to one font style and colour
- Avoid opening with “Dear [Name]”, which often flags spam filters

Equipment Check
- Enable Mandatory Equipment Check – Candidates are required to confirm their camera, mic and browser setup before starting.
EEOC Checklist
- Enable EEOC Questionnaire – Mainly used in the US, this federally-approved form gathers voluntary demographic information. What is EEOC?
The EEOC questions are fixed and cannot be edited. Candidates will see the form before their CSAT (post-assessment).
To enable EEOC:
- Go to My Assessments and select an assessment
- Click Create, then go to Settings
- Scroll down and enable Include EEOC Checklist

📬 Invitation Preview Settings
Customise what candidates see and receive:
- Instructions to Candidate – Appears in the invitation email and on the assessment homepage
- Email Button Text – Change the call-to-action (e.g. "View Interview")

⏰ Time Limit, Deadlines, and Time Extensions
Vervoe lets you set time limits for assessments and extend deadlines for candidates if needed. Here's how it works:
Assessment Time Limit
Set a timer (in minutes) that starts when the candidate begins the assessment.
Submission Deadline
Set a deadline by specifying the number of days candidates have to complete the assessment or choose a Deadline by Date, which automatically closes the assessment at a selected time, disabling job links.
Deadline by Date
Select a specific calendar date and time to close the assessment. Once reached, all job links are disabled, and candidates cannot apply. This will override the number of days setting. You can still set a time limit for each candidate.
Time Extensions
You can allow candidates to request extra time if needed. For high-volume applications, rolling assessments, or talent pooling, you may want to automatically approve the first extension request. This can be set in the assessment settings:
- Go to Time Limit and Deadline settings on the left-hand side.
- Select the option to “Always approve first extension request”.
Set Reinvite Timeframe
Employers can now set a reapply timeframe for each assessment, allowing candidates who have previously completed it to take it again. This setting can be helpful for rolling or ongoing recruitment where an internal policy exists for candidates to reapply.

Default timeframe: 180 days from the candidate’s first invitation.

Reinvite OFF: Candidates already invited follow the standard flow; an error is shown.

Reinvite ON, timeframe not met: Standard flow occurs; an error is shown.

Reapply ON, timeframe met: Candidates are successfully reinvited.
What Happens When a Candidate is Granted an Extension?
When an extension is granted, candidates will be notified by email, and their original deadline will be extended by the same number of days. Timers will reset, but their previous answers will be saved.
Candidates will see the submission deadline on their invite. Once the deadline passes, job links will be automatically disabled, and they can no longer apply.
Key Considerations:
- Timezone: The timezone is based on your account settings and can’t be changed per assessment.
- Job Links: Disabled automatically once the Deadline by Date passes.
- Autoprogress: Candidates won’t proceed to the second assessment if the deadline has passed.
- Extensions: If granted, timers are reset, and previous answers are retained.
- Autoprogress and Deadline by Date: If using autoprogress, candidates who pass the first assessment will automatically move to the second. If the second assessment has a Deadline by Date, they won’t be able to complete it once the deadline has passed.
📣 Candidate Communication Settings
Candidate Rejection
Choose to automatically send an email to unsuccessful candidates upon movement to the 'reject' stage. Communication is customisable.
Candidate Reminder
Switch on an automated reminder email and attach an Exact Date and Time for it to be sent to remind candidates to complete assessment. Opportunity to customise reminder email to entice candidates about the role or company.

Candidate Feedback
Option to send a assessment feedback to candidates who have completed the assessment based on various timeframes. Also choose which cohort you would like to share this information with. Click here to find out more about this feature and see what the candidate see's.
