Invite Options
Once your assessment is set up, it’s time to invite candidates so they can showcase their skills!
There are three ways to invite candidates to your assessment:
Let’s break these down so you can choose the option that works best for you.
🔔 Note: We recommend checking your invitation settings are set up prior to inviting candidates.
Option 1: Invite Candidates via Your ATS
If your ATS is integrated with Vervoe, you can send assessments directly from your ATS platform. This method helps streamline your workflow and keeps everything in one place.
🔔 Note: Please chat to your Account Manager if you would like to explore ATS Integrations. If you already have an integration in place, please see our 'Platform Integrations' folder for more information.
Option 2: Bulk Upload Candidates Using a CSV File
To upload multiple candidates at once, use the Email Invite section within the "Invite" tab of your assessment.
You can either:
- Enter candidate details manually (name and email), or
- Upload a CSV file using the format below:
Column A | Column B |
Column |
Column D |
---|---|---|---|
name | phone (optional) | tags (optional) |
✅ Ensure your CSV headers are clearly labelled as shown.
📱 Improve Completion Rates with SMS Invites
Reach busy candidates faster and boost completion rates with SMS invitations!
When you include a phone number, candidates will receive both an email and an SMS invite simultaneously—maximising visibility and response.
🔔 Note: SMS notifications are only sent with the initial invite. Reminder emails will not trigger an SMS.
How to Send SMS Invites
- Go to the Invite stage and select "Email Invitation"
- Add the name and email address
- Click the
+Phone
field to include a mobile number - Select the correct country code from the dropdown
- Enter the candidate's phone number
When you're ready, click Send Invitations
. This will automatically send both the email and the SMS to the candidate.
📌 The SMS message is standard and not customisable at this stage.
CSV + SMS: What You Need to Know
CSV uploads now support phone numbers! Just include them in Column C (optional).
- If the phone number is included, the candidate will receive both an email and SMS invite.
- If the number is not provided, they will only receive the email.
- Once your monthly SMS cap is reached, the phone number field will be greyed out and reset the following month.
How to Check if a Candidate Received an SMS
In the Invite Overview stage, you’ll see an icon next to each candidate’s name indicating whether an SMS was sent.
You can also track your SMS usage:
- From the Invite page by hovering over the phone field
- Or via the Subscription page in your account settings
Option 3: Share a Unique Link to Your Assessment
Prefer to post your assessment online? You can create a unique shareable link via the Invite Links section at the bottom of the Invite tab.
There are two options:
- Default Link: This is a generic link you can copy and paste anywhere—like your website, newsletter, or internal job board. However, it’s not trackable, so you won’t see which channel brought in your candidates.
- Trackable Links: Want to understand where your candidates are coming from? Create a trackable link by clicking Add Trackable Link, then name the link (e.g. “LinkedIn Ad” or “Careers Page”), choose an icon, and click Copy Link. You can create as many links as you like and track each one separately.
Where to Share
Post your links to:
- Social media platforms like LinkedIn, Facebook, or Twitter (you can even post directly from Vervoe)
- Free job boards such as Indeed or AngelList
- Your company’s careers page or internal portal
Make sure to write a compelling and clear job post—this is your opportunity to attract high-quality candidates. Need help? Check out this article on crafting standout job ads.
💡 Tip: Trackable links give you powerful insights into how each channel is performing, helping you optimise your sourcing strategy.
