This guide outlines how to filter out, remove, or archive candidates whose actions have either expired, been rejected, hired, or completed an assessment a long time ago. It also explains the difference between deleting and archiving candidates, and how to perform these actions effectively.
The Difference Between Deleting and Archiving
- Deleting: This action permanently removes a candidate’s invitation and data from your account. Once deleted, this action cannot be undone.
- Archiving: Archiving removes candidates from the results page in "Select" but retains their information in your account. These candidates can be unarchived later if needed.
Bulk Deleting Candidates from the Invite Tab
Candidates with incomplete assessments can be deleted from the Invite tab of an assessment. You can either delete them individually or in bulk. Only employers with Admin permissions and Editors for the assessment can delete candidates—Team Viewers do not have this ability.
How to Delete Candidates in Bulk:
- Select the candidates you want to delete from the Invite tab.
- Click Delete from the menu that appears.
Deleting an Individual Candidate
To delete a candidate individually, you have two options:
- From the Invite Tab: Click the three-dot menu next to the candidate and select Delete Candidate.
- From the Candidate Card: Open the candidate card and select Delete Candidate from the three-dot menu.
What Candidates Can Be Deleted?
Candidates with the following statuses can be deleted:
- Applied
- Invited
- Expired (Not started/Incompleted/Started)
- More time requested
- Rejected (Not started/Incompleted)
- Failed Screening
- Passed Screening
Note: Candidates in progress with screening or assessment cannot be deleted. If selected for bulk deletion, a notification will alert the user. Candidates who have completed an assessment cannot be deleted either.
What Happens to Candidate Data After Deletion?
- Single Assessment Invitations: All candidate data is completely removed from the company’s records and they will no longer appear on the All Candidates page.
- Multiple Assessment Invitations: If the candidate has been invited to multiple assessments, they will only be removed from the assessment they are deleted from. They will still appear on other assessments within the All Candidates page.
A confirmation modal will appear to verify the deletion request, and users must confirm before the action is finalised.
Archiving Candidates
Candidates who have completed assessments or who have been hired or rejected can be archived. Archiving removes candidates from the results page but keeps their data available within your account.
How to Archive Candidates from the Select Page:
- Select the candidates you would like to archive in bulk.
- Click the Archive option that appears at the top of the Select page.
How to Archive Candidates from the Invite Page:
- Candidates can also be archived via the three-dot menu or from the internal Candidate Report card in Select or All Candidates.
Where Do Archived Candidates Go?
Archived candidates are moved to the Archive tab in Select. From there, they can be unarchived and will reappear in the main view, making them available for data exports.
Candidates That Can Be Archived
Candidates with the following statuses can be archived:
- Completed (Scored/AI scored/Calculating AI score)
- Hired
- Rejected (Completed)
