Vervoe provides you with the tools to seamlessly track and manage candidates from the moment they’re invited until the final review. This guide will help you navigate the Invite home screen and understand the different candidate statuses, as well as how to take actions at each stage.
Invite Home Screen
The Invite home screen displays a list of all candidates invited to the assessment, along with the following details:
- Email Address
- Completion Status
- Source (Email or direct link)
From this screen, you can also:
- Approve or decline deadline extension requests
- Add tags to help organise your candidate pool
- Reject candidates from the process
- Monitor candidate progress at a glance
Understanding Candidate Statuses
Once you’ve invited candidates, you’ll want to know what their different statuses mean. Below is a breakdown of each status, along with actions you can take at each stage:
Invited
The candidate has been successfully invited, but hasn’t opened the link yet.
Applied
The candidate has opened the assessment but hasn’t started. If they remain in this stage for too long, consider nudging them with a quick message via the ellipsis menu (⋯) > Message.
In Progress
The candidate has started the assessment. If there’s no time limit set, they’ll stay in this status until the deadline. Note: answers can only be viewed once the assessment is submitted.
Completed
The candidate has submitted their responses. You can now review their results in the Select tab of the assessment.
Expired
The candidate didn’t complete the assessment before the deadline. If they request an extension, you’ll see a notification at the top of your Invite tab and in the assessment dashboard.
Candidate Symbols
You may notice certain symbols or bolded candidate names that indicate the following:
- Double Tick: The candidate has opened the assessment.
- Timer: The candidate has previously received an extension.
- Grayscale Name: The candidate hasn’t opened the invite yet.
Note: All candidates who haven't submitted by the deadline, regardless of whether their assessment is marked as "in progress," will be moved to Expired.
Re-Invite vs. Extend
When managing deadlines, you’ll notice two distinct options:
- Re-Invite: This option appears for candidates who never started the assessment.
- Extend: This option appears for candidates who started the assessment but didn’t complete it.
Both options serve the same purpose: to give candidates another opportunity to finish their assessment. This distinction helps you track who’s actively engaging with your invites.
Direct Candidate Messaging
If a candidate has started their assessment, you can message them directly to encourage them to complete it:
- Open their Candidate Card.
- Click the three-dot menu (⋯).
- Select Email.
- Write your message and click Send.
The message will come from the email address linked to your Vervoe account.
Barriers to Effective Candidate Tracking
While Vervoe provides robust tracking tools, several barriers might affect your ability to manage candidates effectively. Here are a few to be aware of:

Unopened Invitations
Candidates who haven’t opened the invite can be hard to reach, as they may miss the email or forget to complete the assessment. Use the Message option to remind them to start. -
Incomplete Assessments
Candidates who start the assessment but don’t complete it may require an extension, but this can also delay the review process. Monitor the Timer symbol to identify those who have been given extensions. -
Expired Assessments
Candidates who don’t meet the deadline can be frustrating to manage, especially if they request extensions at the last minute. Make sure you’re on top of the Expired status to act quickly. -
Overwhelming Number of Candidates
Without proper organisation through tags and regular updates, keeping track of a large number of candidates can become cumbersome. Regularly update your Tags to maintain a clear candidate pool.
