Before candidates can be scheduled for interviews, you need to create an interview workflow and configure its settings. This ties together the role, assessment, interview format, interviewers, branding, communications, and deadlines into a single repeatable process. You'll use the guided builder to set everything up step by step, then finalize and go live.
Create your interview workflow
Steps
- Go to My Interviews to see all existing workflows and key metrics (interviews scheduled, reschedule rate, no-show rate, average time to schedule).
- Click New Interview to launch the guided builder.
- Enter the interview role name (e.g. "Group Design Manager").
- Connect existing Vervoe assessments so candidates flow into the workflow automatically. Skip this step if you don't have any yet.
- Choose the interview format: Individual or Panel. If panel, set the number of panelists.
- Set the interview location: Phone, Web Conference, or In-Person (with address).
- Select the interview duration from the dropdown (15 mins to 2.5 hours).
- Toggle candidate rescheduling on or off. Note: Candidates get 3 reschedules by default and the booking link expires after 7 days by default.
- Add interviewers by inviting new team members or selecting from the existing list. Mark your first-choice interviewers with the star icon to set up a primary pool; Vervoe will auto-substitute from your backup pool if a starred interviewer becomes unavailable on a day when candidates are already booked.
- Review the summary page. Edit any field before finalizing.
- Add interview resources: upload guides or populate questions from the company question set.
- Click Finish. The workflow is now live.
Configure your workflow settings
After creating your workflow, fine-tune the settings that control branding, communications, resources, connected assessments, and booking deadlines. These all live under Interview Settings on the workflow page.
- Open Branding Details to apply your company's logo and colors to the candidate interview experience.
- Go to Email and Attachments to preview and edit interviewer communication emails: assignment notification, preparation reminder (set hours before), reschedule notification, cancellation notification, and feedback request.
- Populate interview questions from the company question set (motivation, culture, compliance) or add custom questions for this role.
- Upload interview guides as PDFs so interviewers have consistent scoring rubrics.
- Review and customize candidate-facing emails: invitation, booking confirmation, reschedule, cancellation, and interview reminders.
- Under Connections, click Add Connected Assessment to link Vervoe assessments to the workflow.
- Select role-specific assessments from the modal so candidates pass through the right pre-screening.
- Open Interview Deadline settings to configure the timezone, booking deadline date/time, reschedule limits per stage, and booking link validity (days active after sending).
