Now that you're using Vervoe to assess candidates, it's a great time to make use of our closing the loop feature — a workflow designed to help you track how Vervoe hires are performing after they start in the role.
Marking a Candidate as Hired
Once a candidate is officially hired, you can mark them as Hired in two ways:
- From their candidate report card
- When deactivating an assessment (via the dropdown menu)
You’ll then be prompted to enter:
Hire Date
Hiring Manager details
Hiring Manager details are saved at the assessment level and will pre-populate for any future hires in that assessment. You can also nominate yourself as the hiring manager. These fields are optional and can be added later — the candidate will still appear in the Hired tab, accessible via the top navigation or within All Candidates.
From the Hired tab, you can also:
-
Edit or update hire details
-
Remove the Hired status if needed (e.g. the candidate didn’t start or was marked in error)
Hiring Manager Questionnaire
As part of the closing the loop feature, a short survey is sent to the Hiring Manager to capture early performance feedback. It includes two questions:
- Knowing what you know now, would you hire this person again?
- How would you rate this person’s performance overall?
Note: The survey is only sent if Hiring Manager details are recorded.
If the hire date hasn’t been added, it will default to 120 days after the candidate was marked as hired.
Additional info:
- Not available on free trial accounts (but surveys will send retroactively if upgraded)
- Test candidates are excluded from surveys
Letting Hiring Managers Know What to Expect
To make the most of the Closing the Loop feature, it’s helpful to give hiring managers a quick heads-up so they know what to expect. Once a candidate is marked as hired and their details are saved, the nominated hiring manager will automatically receive a short follow-up survey 120 days after the hire date.
This small step helps ensure hiring managers aren’t surprised by the email and are more likely to respond, giving you valuable insights on post-hire success.
Here are two communication options.
- Individual Recruitment
Subject: Quick heads-up — feedback request coming your way
Body (example message):
"Hi [Hiring Manager Name],
Just a quick note to let you know you’ll receive a short survey around [Month] to share how [Candidate Name] is tracking in their role. It’s part of our new process using Vervoe to help close the loop on hiring decisions. It’s only two quick questions and helps us understand what’s working and where we can keep improving.
Let me know if you have any questions!" - Volume Recruitment

Unhiring a Candidate
If a candidate was incorrectly marked as hired or didn’t start, you can remove them from the Hired tab.
Click the 3-dot menu next to their name and select Remove from Hired. You’ll be asked to choose a reason:
- I made a mistake
- Candidate never started
- Candidate wasn’t suitable
- Just trying out the feature
This helps keep your data accurate and focused on hires who actually commenced.
