AI tools like ChatGPT, Claude, and Gemini are increasingly being used throughout the hiring process—from drafting resumes to preparing for interviews. At Vervoe, we’re committed to transparency and fairness, and we want to help you clearly communicate your expectations around AI use to candidates.
This guide is designed to support you in setting the right tone and guidance for candidates when it comes to using generative AI throughout your recruitment process.
Why Set Clear Guidelines?
Being upfront about how AI can be used helps create a level playing field and builds trust with candidates. It also allows you to:
- Promote fairness across the process
- Clarify what’s allowed (and what’s not)
- Encourage authenticity and originality
- Reflect your organisation’s position on the use of emerging technologies
Communicating AI Expectations: What to Say and Where to Say It
There’s no single approach to AI use in hiring. Some teams prefer assessments to be completed independently, while others encourage candidates to demonstrate resourcefulness using AI tools.
Use the examples below to guide what you communicate to candidates—along with suggestions on where to include this messaging in your process.
| Stage | AI Use Discouraged | AI Use Permitted | Where to Communicate It |
| Application (Resume, Cover Letter) | “We ask that you prepare your application materials independently so we can get an authentic sense of your experience.” | “You’re welcome to use tools like ChatGPT to help polish your documents—but please ensure the content reflects your own experience and ideas.” | Job ad Candidate FAQ |
| Vervoe assessment | “Please complete the assessment on your own. We’ve enabled plagiarism detection to ensure fairness.” | “This assessment reflects real-world tasks. You may use tools like ChatGPT to support your thinking or research, as long as your responses represent your own approach.” | Assessment welcome message Assessment invite email Candidate FAQ |
| Interview preparation | “We encourage you to prepare on your own so we can see your natural responses during the interview.” | “Feel free to use AI tools to help you prepare—this might include researching the company or practising your responses.” | Interview prep email Candidate FAQ |
What Happens When the Plagiarism Tracker is Enabled in Vervoe?
If you enable the plagiarism tracker on any question in your Vervoe assessment, candidates will see the following Assessment Guidelines screen before the assessment begins. It includes:
- A prompt to avoid using AI tools or copied content
- A notice that originality will be checked
- A reminder that pasting text into the assessment is disabled
- A statement confirming responses should reflect the candidate’s own skills and thinking
📌 This screen appears once—at the beginning of the assessment—and applies to the entire experience, not just a single question.
