Integration setup and enablement
To enable the SmartRecruiters integration click on the integrations tab inside your Vervoe account settings then select SmartRecruiters from the lefthand list and toggle on `Enable SmartRecruiters Integration`.
Next, you will need to follow the link highlighted in the sentence below the toggle which will take you into SmartRecruiters to authorize the integration. Once inside your SmartRecruiters account click on Settings / Admin under your profile avatar.
From the settings page, click on Apps & Integrations under Administration Settings then scroll through the list until you find Vervoe Integration and select.
After clicking Connect you will be presented with the following screen asking you to confirm acceptance of the data that will be used to facilitate the integration by Vervoe.
Once you have selected Allow and Continue you will be presented with a login screen for your Vervoe account. Please use your Vervoe username and password to log in.
Once you have logged in you will be asked to acknowledge and accept the data shared from Vervoe to SmartRecruiters in order to facilitate the integration. Please click Allow and Continue to proceed.
You will be taken back to your SmartRecruiters account where you will be able to see that the integration is now connected.
Once the integration has been enabled all active assessments in your Vervoe account will automatically be sent to SmartRecruiters for selection. There are 2 paths for inviting candidates to assessments - manually by the candidate profile and automatically via the stage update.
Manually Triggered Invites
To send an assessment to a candidate open the candidate profile and select Browse from the Assessment panel in the right-hand menu.
Then confirm Vervoe as the assessment partner from the drop-down menu and select the assessment you would like to send to the candidate.
Upon confirmation, the candidate will be sent the assessment via email to complete.
Automatically Triggered Invites
To automatically trigger an invite when a candidate reaches a particular stage you will need to configure your workflow and add the relevant assessments at the correct stages.
First, navigate to Settings / Admin and then scroll down to Configuration and select Hiring Process
Select the stage you wish to trigger your Vervoe assessment from and click on assessments.
Then select the configure button and choose the assessment you would like in this stage and save.
Make sure the auto-triggered toggle is moved to the enabled position
To trigger the assessment the candidate must be converted from a lead and moved to the Vervoe stage.
If your account has automatic invites set up on V1 of the integration, an additional step is required to ensure V2 integration works.
Step required: In addition to the steps under 'automatically triggered invites', please also click into the 'marketplace' tab and toggle off the V1 Vervoe assessment connection. This will need to be repeated on each job in the ATS that originally had an automatic invite process. Here's a recorded video to illustrate:
The invite will then be emailed to the candidate to complete.
Once the candidate completes the assessment their status in SmartRecruiters will be updated to Completed with the green dot.
Other status changes are;
- PENDING - grey - after inviting a candidate.
- IN PROGRESS - yellow - when an assessment is being taken by a candidate.
- COMPLETED - green - after the candidate completes the assessment.
- REJECTED - red - when a user rejects a candidate from the hiring process.
- EXPIRED - pink - when an assessment due date has passed and the candidate has not completed.
The overall score is shown out of 100 (X/100) plus the skill name and the score per skill. Please note skill groups with questions graded by the AI will show as low, medium, and high, and skill groups containing all autogradable questions will be a numeric value. The complete numeric score for each skill is available to see by clicking on the report card.
Clicking on the paperclip icon will open up the full candidate report card link. Please note: SmartRecruiter users do not require a Vervoe login to view the candidate card. The integration enables the candidate card view for all SR account users automatically.
